You have two options: (1) Open Apple Notes, select your text, tap Share, and choose Smart Todo. The Share Extension analyzes and groups your items right there. (2) In Smart Todo, tap the notes icon in the toolbar, then paste your text. Both methods use AI to group items by location and create tasks with subtasks automatically.
The Share Extension uses Face ID (or device passcode) to verify your identity before importing notes into Smart Todo. This ensures only you can add tasks to your account. You must have an active Smart Todo profile (signed in with Apple ID) for the Share Extension to work.
Tasks can have subtasks with individual checkboxes. When you import from Notes, each item becomes a subtask under a location-based parent task. You can also add, edit, or remove subtasks manually from the Add/Edit Task screen. When all subtasks are checked off, the parent task completes automatically.
Smart Todo uses your device's location to notify you when you arrive at saved places. When you add a task like "Buy groceries," the app can remind you when you're near any of your saved supermarkets or grocery stores.
Location-based notifications require "Always Allow" permission to detect when you're near your saved places, even when the app is closed. Without this permission, you'll only receive time-based reminders. Your location data stays on your device and is never sent to external servers.
On supported devices (iPhone 15 Pro and later running iOS 26+), Smart Todo uses Apple Intelligence to understand your tasks. The AI analyzes task descriptions to detect categories like "pharmacy," "grocery store," or "fuel station." All processing happens entirely on your device for complete privacy.
During initial setup or from the Settings menu, tap "Import from Calendar & Reminders." Grant the necessary permissions, select the items you want to import, and Smart Todo will analyze them using AI to identify actionable tasks and match them with your saved locations.
Apple Intelligence features require iPhone 15 Pro or later running iOS 26 or newer. On older devices, Smart Todo uses keyword-based matching which still provides intelligent task categorization.
During setup, Smart Todo can automatically discover nearby places like stores, pharmacies, and fuel stations. You can also manually add locations from the Points of Interest section in the app by searching for places or dropping a pin on the map.
Yes! All your data (tasks, locations, preferences) is stored locally on your device using Apple's secure Core Data framework. We don't have servers that store your information, and AI processing happens entirely on-device. Your data never leaves your device.
No. Smart Todo automatically migrates your existing tasks, groups, and saved locations when you update. All your data is preserved seamlessly.
Go to your profile (top-left avatar), scroll to the Danger Zone section, and tap "Delete Account." This permanently erases all tasks, locations, and app data from your device.
You can reset the onboarding flow and tour from the Settings menu within the app. To completely reset all data, use Delete Account or delete and reinstall the app.
